This Privacy Policy describes how IMS ("we", "us") handles information when you use IIAP IMS (the "App") — an internal inventory management application for our organization.

1. Who this applies to

The App is intended for authorized staff members (for example: Officers, Engineers, Assistants). If you do not use the App, this policy does not affect you.

2. Information we collect

• 2.1 Account and profile

  • Authentication: We use Google Firebase Authentication to verify your identity when you sign in.

  • Profile and directory data: Stored in Firebase / Cloud Firestore, such as your user ID, full name, email address, role/designation, and optional profile photo (stored in Firebase Storage).

  • Other users: Staff who can assign assets may see a directory of colleagues as designed in the App.

• 2.2 Inventory and operational data

  • Asset records: Information about assets (type, company, location, timestamps, photos, and image references).

  • Assignments: Tracking data on who assigned an item to whom, including assignee identifiers and location.

  • Audit-style fields: Logs of which account created or last edited a record for transparency.

• 2.3 Device and technical data

  • Firebase and related services may process technical data such as IP address, device identifiers, and logs for security and reliability.

3. How we use your information

• To provide sign-in, profiles, and role-based access.

• To maintain and track inventory (create, search, assign, and return assets).

• To operate, secure, and improve the App.

• Note: We do not sell your personal information.

4. Service providers (processors)

We use Google Firebase services (Authentication, Cloud Firestore, and Firebase Storage). Data is processed by Google on our behalf. For details, see:

5. Sharing and Retention

• Sharing: We do not share data with advertisers. Data is visible to other signed-in users only as required by the app's internal functions (e.g., shared inventory lists).

• Retention: We keep data for as long as needed for inventory operations. For account or data deletion requests, please contact us.

6. Security

We rely on Firebase security features and organizational access controls. While we work to protect data appropriately for an internal business app, no method of transmission is 100% secure.
